Create Your Account

Register in seconds — no email required, just your phone number

Open the Website Required

Go to aiemployee.rafikiaicompany.com in your browser. You will see the home page with a "Get Started" button.

Works on any device — phone, tablet, or desktop. The platform is fully responsive.

Click "Get Started" or go to /register. Fill in the form:

Step-by-Step: Create Your AI Employee

Go to "Create AI Employee"

Click "Create AI Employee" in the left sidebar. You will see a chat interface where the AI wizard is ready to help you.

You can use any language — Swahili, English, French, Arabic — the AI understands you!

Step 1 of 4 — Employee Name

The AI will ask for the name of your AI employee. Give it a clear, memorable name that your customers will see.

Add a Knowledge Base

Train your AI with your business documents so it knows exactly what to say

Upload via Chat (Paperclip Button)

In the "Create AI Employee" chat, click the 📎 paperclip icon next to the message box to upload a file directly. The AI will add it to the selected employee's knowledge base.

Make sure you have the correct AI employee selected in the "Working with:" dropdown at the top before uploading.

Paste Content Directly in Chat

You can also paste text directly into the chat — product descriptions, FAQs, pricing info. The AI wizard will recognize it and add it as knowledge.

Connect to WhatsApp

Link your AI employee to a WhatsApp number so it can serve real customers

Ask the AI Wizard to Connect

In the "Create AI Employee" chat, simply tell the AI you want to connect to WhatsApp. It will show a QR code directly in the chat.

A QR code will appear in the chat with a countdown timer. Open WhatsApp on your phone and scan it:

The QR code refreshes every 60 seconds. If it expires, a new one is generated automatically. If you don't scan for 3 minutes, the connection attempt is cancelled.

Connection Confirmed!

Once scanned, the QR code disappears and you'll see a success message. Your AI employee is now live on WhatsApp and will automatically respond to every customer message.

Your AI works 24/7 — even when you're asleep! Every message sent to that WhatsApp number will be answered by your AI employee.

Connect via "My Employees" Tab Alternative

You can also go to My Employees in the sidebar, click on an employee, and use the "Connect WhatsApp" button there. This shows the QR code in a dedicated panel.

Create a Monitor Group

Forward all AI conversations to a WhatsApp group so your team can track everything

What is a Monitor Group?

A Monitor Group is a WhatsApp group automatically created by the platform. Every time a customer sends a message and the AI replies, a combined summary is forwarded to this group — so your whole team can see what's happening in real-time.

WhatsApp must be connected first before you can create a monitor group.

Ask the AI Wizard to Create It

In the "Create AI Employee" chat, simply say you want a monitor group:

📋 All conversations will now be forwarded to this group. Add your staff members to the group to monitor conversations.

Every customer conversation is forwarded as a single, easy-to-read message:

To stop forwarding messages, tell the AI wizard:

Select an Existing Employee

In the "Create AI Employee" page, use the "Working with:" dropdown at the top to select an existing AI employee. The AI wizard will switch to edit mode for that employee.

When you change the role, the AI automatically updates the instructions to match — no need to rewrite everything manually.

View Current Configuration

Click the ⚙️ sliders icon in the top-right of the chat to see the full configuration of the selected AI employee — role, personality, instructions, WhatsApp status, and monitor group status.

View Chat History

Click the 🕐 history icon to see your previous creation/editing conversations with the AI wizard. This helps you track what changes were made and when.

My Employees Tab

Go to "My Employees" in the sidebar to see all your AI employees in a card view. From here you can:

Activate / Deactivate

Toggle an employee on or off without deleting it

Delete Employee

Permanently remove an AI employee and all its data

WhatsApp Status

See which employees are connected and their phone numbers

View Conversations

Track every customer interaction and review AI responses

Conversations Tab

Click "Conversations" in the sidebar to see all customer conversations across all your AI employees. You can filter by employee and view full message threads.

Review Individual Chats

Click on any conversation to see the full message history — what the customer asked and exactly how your AI responded. This helps you:

Verify AI is giving correct answers
Identify gaps in the knowledge base
Understand what customers are asking
Improve your AI's instructions over time
